This website
shinden.ca is an informational site. It has no accounts, logins or forms; the only way to send us information through it is to email or phone us, or to book a meeting through Calendly, which has its own privacy policy.
- Hosting. The site is hosted by SiteGround on servers located in the United States. Like any web server, it keeps standard access logs (IP address, pages requested, browser type, date and time) for security and troubleshooting, which are retained for a limited time.
- Analytics. We use Google Analytics to understand how the site is used, such as which pages are visited and roughly where visitors come from. Google processes this data on its own servers, which may be outside Canada, under Google's Privacy Policy. It sets a small number of cookies for this purpose. We do not use the data for advertising, and you can block it with a browser extension such as Google's own opt-out add-on or by disabling cookies.
- Outside Canada. Because of the providers above, information about your visit may be stored and processed outside Canada, including in the United States, where it is subject to the laws of that jurisdiction. If you email us or become a client, how we handle that information is covered by our Master Services Agreement.
What the App accesses
The rest of this policy is about the Shinden QuickBooks Connector. When an authorized Shinden user connects the App to a QuickBooks Online company, the App can read, using Intuit's QuickBooks Online Accounting API:
- company information (name, address, country, fiscal year settings);
- customer records (names, company names, contact details, billing addresses, balances);
- transactions such as invoices, payments, estimates and credit memos, including line items and sales tax;
- financial reports such as accounts receivable aging, customer balances, sales and profit and loss.
The App is read-only. It does not create, change or delete any data in QuickBooks Online. It does not access bank credentials, payment card data or QuickBooks Payments information.
How the information is used
We use this information only to answer questions from authorized Shinden staff about our own invoices, customers, billing and receivables. We do not use it for advertising, and we do not sell, rent or trade it.
Where information is processed and stored
- Local computer. The App runs on a computer controlled by Shinden. The OAuth access and refresh tokens issued by Intuit, and the App's credentials, are stored in local files on that computer. QuickBooks data is fetched when a request is made and is not kept in a separate database.
- Intuit. Data is retrieved directly from Intuit's servers over encrypted (HTTPS) connections. Intuit's handling of your data is governed by the Intuit Global Privacy Statement.
- AI assistant. The App gives Anthropic's Claude AI assistant access to the data described above, so staff can ask questions in plain language. When a question is asked, the relevant QuickBooks results are sent to Anthropic for processing under Shinden's Anthropic account and are subject to Anthropic's Privacy Policy and commercial terms. Such data may be processed outside Canada.
Sharing
We do not share information obtained through the App with anyone other than the service providers named above (Intuit and Anthropic). The only exceptions are when the law requires it, or to protect our legal rights.
Security
We limit use of the App to authorized Shinden personnel, keep credentials and tokens on access-controlled computers, use encrypted connections to Intuit, and request only the QuickBooks Accounting permission the App needs. No method of storage or transmission is completely secure, but we take reasonable steps to protect the information.
Retention and disconnecting
Access tokens expire automatically and are renewed only while the App is in use. The App can be disconnected at any time from within QuickBooks Online (Settings → Apps). Disconnecting revokes the App's access, and we then delete the locally stored tokens.
Your rights
We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. Individuals whose personal information appears in our records, such as customer contacts, may ask to access or correct it, or ask questions about how it is handled, by contacting us below.
Changes
We may update this policy from time to time. The effective date above shows when it was last revised.
